Invoice & Packing List: A Consistency Check

Review the same shipment across every document.

Practical guide • Reviewed October 2026

International sourcing and freight coordination with cargo ship and trade documents

Shipping problems often begin with inconsistent information rather than a missing form. A practical review compares the source records before documents are passed between the seller, buyer and freight provider. The exact document requirements depend on the product and trade route.

Match the parties and references

Check the seller, buyer, consignee and shipment references against the agreed transaction. Do not assume these roles are interchangeable. Record which party must approve the final version and where the current file is kept.

Reconcile units and cartons

Compare product descriptions, sellable units, carton quantities and pack counts. If an invoice counts retail packs while the packing list counts individual pieces, make the relationship explicit. Resolve the mismatch with the source owner before copying it into another document.

Check physical information

Review carton dimensions, net and gross weights and the totals used by the freight provider. Distinguish measured figures from estimates. A changed carton plan should trigger a review of the packing list and any downstream information that relied on it.

Clarify shipping terms and responsibilities

A quoted shipping term should be accompanied by a clear understanding of the named place, responsibilities and exclusions. Ask the provider who arranges each stage, which charges may remain and what documents they require. Do not treat a short term such as DDP as a substitute for a written scope.

Control the final version

Use a clear filename, date and responsible owner. When a document changes, identify which earlier version is superseded and notify the people relying on it. Keep a record of unresolved questions rather than quietly filling gaps with assumptions.

DAP and DDP: a useful distinction

Under DAP, the seller handles transport to the agreed destination, with the goods ready for the buyer to unload. The buyer handles import clearance and import duties. Under DDP, the seller also handles import clearance and the relevant import duties. In both cases, confirm the exact delivery point and unloading arrangements. A supplier must be able to carry out the obligations legally in the destination country.

Write more than three letters

Use the selected rule, an exact named place and the rule version in the agreement, for example DAP followed by the agreed warehouse address and Incoterms® 2020. Confirm the quotation’s inclusions and exclusions with the responsible freight or trade professional. Read the ICC Academy explanation of DAP and DDP for further context.

Your working checklist.

  • Party names and transaction references match.
  • Unit, pack and carton counts reconcile.
  • Weights and dimensions have a clear source.
  • Responsibilities and exclusions are written down.
  • The latest approved version has an owner.
